What does an office manager and bellhop do?
All businesses, regardless of type and size, may need help handling all the administrative and practical tasks involved in running a good workplace. These tasks can easily be delegated to an office manager or bellhop/piccolo.
We've put together some information on what these roles entail and why they can be beneficial to your workplace. If you don't have an employee to handle these many tasks, it often happens that the responsibility for tasks such as lunch, cleaning, milk for coffee, etc. ends up being shared between other employees - and that's a waste of valuable time and resources.
Below you can read more about what an office manager and a bellhop/piccolo do.
What is an office manager?
You'll often find an office manager in the hallways of many large shared offices. They are responsible for the day-to-day running of the office and are indispensable for keeping the office running smoothly. In some cases, the title may be receptionist, secretary or similar, but the common responsibility is to manage and coordinate the office's administrative activities and ensure that the framework for a good working environment is in place. An office manager often takes care of all the practical tasks in the office, such as making sure the coffee machine is always running, that lunch is set out, that the summer party is planned and that Christmas presents are purchased. The list of tasks is long and also hugely varied depending on the size of the workplace.
"My role is to make sure everything runs smoothly - I'm like the hub and people turn to me. " -Emrije, Office Manager at GreenMobility
An office manager can be a huge help in the office as they take care of the tasks that would otherwise take time away from employees' actual work. They are in many ways the office octopus, but even an octopus can sometimes use an extra hand. To help the office manager, it can be a good idea to hire a bellboy or bellhop, and you can read more about that role below.

What is a bellhop or bellboy?
A bellhop/piccolo is also responsible for the day-to-day running of the office, however, their tasks are typically more practical than administrative. They are often the first to arrive at the office. They turn on the ceiling lights and coffee machine, turn the radiators up or down, and check that everything is ready for the other employees to arrive. They have many different roles, and we've listed some examples of bellboy/piccolo tasks below.
The role of a bellhop/piccolo can also come with a lot of responsibility:"I really just do everything to make life easier for the others." -Petrine, Bellhop at Maigaard & Molbech
Examples of piccoline and bellhop tasks
A bellhop/piccolo acts as the eyes, ears and arms of the office, and during a normal working day they have many regular tasks to take care of. These could include:
-
Cleaning the toilet, kitchen and/or other surfaces
-
Preparing and cleaning up after the communal lunch
-
Making sure there is coffee in the machine
-
Loading and unloading the dishwasher
In addition to these many practical tasks, a bellhop or bellboy also often performs so-called ad hoc tasks.

What are ad hoc assignments?
During a normal working day, a bellhop or bellboy has many regular tasks that help keep the office running smoothly. However, during the course of a day, various ad hoc tasks will naturally arise. Once the coffee machine is running, the dishwasher is emptied and lunch is prepared, the rest of the day needs to be filled. We have listed examples of different ad hoc tasks below.
Examplesof ad hoc tasks
Ad hoc tasks are those tasks that you stumble upon when you're actually doing something completely different. We know it all too well. You're preparing dinner when you notice some dirt on the floor and before you know it, you've cleaned the entire kitchen while the food has been simmering on the stove. These are the type of tasks that can't be scheduled in the same way as other regular tasks, as it won't be necessary to clean the entire kitchen every day, but will usually be done as needed. In an office, ad hoc tasks for a bellhop/piccolo could be:
-
Tidying up the storeroom
-
Preparing tea/coffee/water for a customer meeting
-
Picking up band-aids at the nearest convenience store
-
Watering the plants if they are hanging by their beaks
In an office, office managers, bellmen and bellhops deserve a lot of recognition for the many different tasks they take care of, so the rest of us can enjoy a piping hot cup of coffee and concentrate on our own portfolio of tasks.
