Effective office management is the cornerstone of a well-functioning and attractive office environment at GreenMobility. In this blog post, we will dive into how small details can have a significant impact on the daily operations and well-being of the office, based on an interview with Emrije from GreenMobility, where she shares her experiences and perspectives.

The role of Office Manager

One of the first things highlighted during the interview was that Emrije is a central hub."My role is to make sure everything works"

GreenMobility's perspective is clear: The Office Manager is often the first person people turn to when something is needed in the office. So it's both practical things, like when something isn't working, or when something social needs a facilitator. As Emrije said,"I'm like the hub and I'm the one people turn to."

The small details are "one of the most important things"

Emrije also faces a wide range of unpredictable tasks. From solving problems like the coffee machine not working to moving furniture and ordering supplies for the Friday bar, it's the office manager who keeps the office running smoothly. As stated in the interview,"I help out so my colleagues can concentrate on doing their work... tasks are put on my desk, and I'm happy to drive to IKEA or other places - my boss or others don't need to spend their time on that..."

A key point that emerged is the importance of small details. GreenMobility has learned that it's the little things that can make the biggest difference in office management. It can be anything from turning on lights to making sure lunch is always presentable. As Emrije said, " If I see something that's not optimal, I fix it"

Lunch, the big mood booster

"The food is the focal point"

One area of focus for Emrije is the lunch experience itself, as it plays a big part in setting the mood in the office. It's one thing to be energized at lunch, but another is the joy of good food and community. Emrije has learned over time that if lunch doesn't work, it has a direct impact on the dynamics in the office.

"If lunch isn't optimal or doesn't live up to expectations, the mood drops. It's very clear and it's taken me by surprise."

Therefore, feedback is collected daily, which is passed on by rating the food of the day through the Officeguru app and by direct feedback to the kitchen via the Officeguru chat app. It is also routine to change kitchen suppliers from time to time, which is made easy by Officeguru's marketplace.

Digitalization and technology

"When I'm on vacation, my boss can easily see who and what"

A crucial factor for efficient office management is the use of technology. GreenMobility has implemented Officeguru to optimize processes. This makes it easier to coordinate tasks and ensure nothing is overlooked. As Emrije said, " We have everything in Officeguru. It's so easy to get an overview for both me and my boss - in fact, I hardly need to have my Outlook open."

Well-being and work environment

"The green surroundings create a calm working environment"

A positive work environment is crucial for well-being and productivity. GreenMobility has found that the green environment has a positive impact on the atmosphere in the office. The office is really cozy and it is clear that the office environment reflects the GreenMobility brand. There are plant walls, lots of plants, green and white on the walls, as well as a lot of pictures of the product; the white cars we all know so well. This can serve as inspiration for anyone who wants to create an inspiring work environment.

Choosing suppliers

"The importance of finding the right balance between price and quality."

When it comes to external service and supplier selection, GreenMobility is aware of the importance of finding the right balance between price and quality. It's about choosing suppliers that can deliver the desired service at an affordable price. For some services, price is the primary consideration, such as cleaning, where the supplier with the lowest price among the three offers in Officeguru's marketplace was chosen. As all suppliers on the Officeguru platform are quality approved by Officeguru, Emrije trusted that all suppliers would be able to live up to the desired quality - which the cheapest and current supplier also does.

When choosing the latest lunch kitchen, price was less important. Instead, the kitchens' menus were scrutinized and Emrije's Customer Success manager from Officeguru was consulted. Although the new kitchen is slightly more expensive, the colleagues' enjoyment of the lunch table definitely outweighs the extra cost.

Conclusion

Effective office management is about juggling many tasks and details, big and small. As we've seen in this interview with GreenMobility, the small details can have a big impact on office function and employee wellbeing. It's a reminder that attention to detail can make a world of difference. In addition, you need to get lunch under control. Because if you don't have your lunch under control, all hell will break loose.
